SALARY: $45,000 - $55,000, commensurate with experience

Since 1999, WomenHeart: The National Coalition for Women with Heart Disease has been the nation’s only patient-centered organization solely devoted advancing women’s heart health through patient support, community education, and advocacy. Position Summary:

The Development Operations Associate supports the fundraising operations, donor stewardship, and executive coordination functions that keep WomenHeart's development efforts moving forward. This role also plays a broader organizational role, ensuring that donor relationships are tracked and advanced, grant submissions are managed with precision, and senior leadership has the scheduling and logistical support needed to focus on high-impact work.

Working under the direction of the Sr. Director of Fundraising and Development, the Development Operations Associate helps strengthen the operational backbone of WomenHeart's development function and ensures consistent, high-quality execution across fundraising and stakeholder engagement priorities.

Duties & Responsibilities:

Donor Relations and Stewardship

  • ​​​​Process all gifts in a timely and accurate manner, including entry into the CRM.
  • Generate and send donor acknowledgments, ensuring they are personalized, accurate, and aligned with WomenHeart messaging.
  • Maintain clean and up-to-date donor records, including contact information, giving history, and notes.
  • Support donor moves management, tracking portfolio progress, flagging next steps, and updating records to advance donor relationships.
  • Support donor segmentation, reporting, and list pulls for campaigns and outreach.
  • Track pledges, payments, and campaign progress.
  • Support development of proposals, sponsorship decks, and briefing materials for donor meetings and partnership outreach.
  • Conduct research to support fundraising strategies and donor engagement initiatives.

Grants and Foundations Relations

  • Manage grant submission workflows, including entering applications into grant portals, tracking deadlines, and maintaining a submission calendar.
  • Monitor reporting requirements and deadlines for active grants, ensuring timely and accurate follow-through.
  • Maintain organized grant records in the CRM, including submission history, outcomes, and follow-up notes.

Executive and Board Coordination

  • Manage scheduling and calendar coordination for the Development team including internal meetings and external stakeholder appointments.
  • Serve as the primary liaison to the Board of Directors for scheduling and coordination.
  • Coordinate board and committee meetings, including scheduling, calendar management, and logistics.
  • Prepare and distribute meeting materials, including agendas, pre-reads, and follow-up notes.
  • Support communication with board members, including reminders, updates, and follow-ups.
  • Assist with onboarding new board members and maintaining board resources.
  • Support the Development team on special projects, presentations, and correspondence.

Data Systems and Operations

  • Maintain accurate and up-to-date records in the CRM system (Salesforce, Raiser's Edge, EveryAction, Virtuous, or similar).
  • Generate reports, dashboards, and donor lists to support stewardship, fundraising, and development tracking.
  • Take initiative in improving systems and workflows, contributing to a more organized and efficient team environment.
  • Help manage competing priorities and ensure the team is prepared and organized for upcoming work.

Qualifications:​​​​

  • 1–3 years of experience supporting nonprofit development, fundraising, or executive operations.
  • Experience supporting stewardship strategies, including tracking, follow-through, and operationalizing engagement plans.
  • Experience managing senior executive calendars, meetings, and travel logistics.
  • CRM/database experience (EveryAction, Salesforce, Raiser’s Edge, or similar).
  • Strong written and verbal communication skills.
  • Highly organized, proactive, detail-oriented, and able to manage multiple priorities.
  • Professionalism, discretion, and ability to handle confidential information.
  • Passion for mission-driven work and supporting donor and stakeholder engagement.
  • Ability to travel occasionally to WomenHeart events or convenings (less than 10%).
